AI for law firms, built around your case management

AI for law firms, as we build it, works inside the systems you already run: Clio, LEAP, Actionstep, Proclaim or Osprey for matters, and an ID provider such as Thirdfort. We build the pieces between them: matter opening, conflict searches, filing, first drafts from your own precedents and client account checks.

This page is for solicitors in England and Wales, and in Scotland where the rules differ. Law firm AI for research already exists and is often the better buy. What is left is the work around your own matters, where a solicitor stays responsible for every output.

Where the time goes

  • Opening a matter

For work in scope of the Money Laundering Regulations, such as conveyancing, the client and its beneficial owners are identified and verified. Then comes a conflict search across current and former clients, and a client care letter with the likely cost.

  • Post, email and documents

Every letter, email and attachment belongs on a matter, and its dates belong in the key-dates diary. Vendors already sell AI for part of this: LEAP's Matter AI answers questions from a matter's correspondence, and Lexis+ with Protégé turns documents into chronologies.

  • The client account

Client money goes into a client account promptly and is returned promptly. Ledgers are kept as you go, and client accounts are reconciled at least every five weeks, signed off by the COFA or a manager.

  • Conveyancing deadlines

A purchase runs through searches, ID and source of funds checks, exchange, completion and registration. In England, the SDLT return is due within 14 days of the effective date. In Scotland, the Land and Buildings Transaction Tax return is due within 30 days, counted from the day after.

The systems you already run

  • Clio Manage

Clio documents its Manage API (version 4), with a separate EU host, and sends webhooks for matters, contacts, activities, bills, documents and tasks. Each webhook lasts 31 days at most, so an integration renews them.

  • LEAP

AI comes included: LawY gives AI answers that qualified lawyers can verify, Matter AI reads a matter's correspondence, and AutoTime records billable time. LEAP Developer offers REST APIs through a developer programme.

  • Actionstep

A documented REST API with a sandbox, and REST hooks that tell us when actions, file notes, time entries, disbursements or tasks are created or updated.

  • Proclaim and Osprey

Proclaim runs workflows for conveyancing, personal injury and debt recovery; Access Legal lists API integrations for it, but we found no public API documentation. Osprey's API terms say access is switched on per firm, and a third party needs Osprey's written approval.

  • Thirdfort and HM Land Registry

Thirdfort documents an API for identity verification and sanctions, PEP and adverse media screening; webhooks are set up on request. HM Land Registry's Business Gateway offers official searches, official copy availability and proprietor names, with a client certificate.

What we would build

  • Matter opening in one pass

One intake form feeds the ID check, the conflict search and your case management system. Possible conflicts are listed for a named person to clear, the CDD record is kept on the matter, and the client care letter is drafted with its costs information for approval.

  • Post and email filed to the matter

Incoming email and scanned post are matched to a matter and filed with a short summary. Dates found in them, such as hearings and completion, are suggested for the diary, and a fee earner confirms each one.

  • First drafts from your precedents

Letters and attendance notes drafted from your precedent bank and the matter's data, through an AI service whose terms keep client data out of model training. The fee earner approves every draft, and the system records which had AI help.

  • Citation checks before filing

Every case and statute a court document cites is listed with a link to an authoritative source. Anything that cannot be found is flagged, and the fee earner confirms each authority supports the point it is cited for.

  • Client account exceptions

Bank lines matched to client ledgers daily, with differences and residual balances listed for the cashier, so the reconciliation is ready for sign-off every five weeks, or monthly in Scotland.

Where AI helps

AI should not advise a client, clear a conflict, accept a client after due diligence or cite an authority unchecked. In Ayinde, in June 2025, the Divisional Court said freely available AI tools are not capable of reliable legal research. Using AI does not lift a solicitor's responsibility for the work.

  • Reading incoming email and post and suggesting the matter and key dates, with the fee earner confirming before anything is filed.
  • Drafting letters from your own precedents, with the supervising solicitor approving each one before it is sent.
  • Comparing ID documents and screening results with what the client told you, with your MLRO deciding anything flagged.

How we would start

We would start with matter opening: map how an enquiry becomes an open matter today, from keying in the client to the ID check, conflict search and client care letter. We would connect your case management system first, through its API where it has one. The first version would run the ID check, list possible conflicts for a named person to clear, draft the letter and open the matter.

That first stage, the design and a written scope, typically takes one to three weeks. Like every stage, its price is fixed and agreed before it starts, and you can stop after it. How a project runs

Rules we build around

The software keeps the records these ask for. The duties stay with you.

  • Money Laundering Regulations 2017, regulations 12, 28 and 40

For work in scope, such as property transactions, managing client money or setting up companies and trusts: verify the client and beneficial owners, assess the purpose of the relationship and monitor it. Records are kept five years after it ends. The Law Society of Scotland is a supervisor under the same regulations.

  • SRA Accounts Rules, rules 2, 8 and 13

Client money is paid promptly into a client account and returned promptly, with accurate, contemporaneous records. Client accounts are reconciled at least every five weeks, signed off by the COFA or a manager; accounting records are kept at least six years. Scottish firms follow rule B6 of the Law Society of Scotland Practice Rules 2011.

  • SRA Code of Conduct for Solicitors, paragraphs 6.2, 6.3, 8.3 and 8.7

No acting with a conflict or a significant risk of one, outside narrow exceptions with written consent. Client affairs stay confidential. At engagement, clients learn in writing how to complain, including to the Legal Ombudsman, and get the best possible information on price and likely cost.

Questions

Can we put client files into ChatGPT?

Not into a free online tool. The Law Society advises against putting confidential data into a free AI service where your only relationship with the vendor is use, and says to check the terms of any tool you adopt. We build on AI services under business terms and record what was sent where.

Should we buy a legal AI tool instead?

For research, usually yes. Lexis+ with Protégé and CoCounsel Legal answer with citations to their own legal content, Harvey offers research and a document vault, and LEAP includes LawY. We would not rebuild those. We build what connects your own systems: intake, filing, drafting from your precedents, client account checks.

Does the SRA allow AI for solicitors?

Yes, within its standards: its August 2026 warning notice on misuse of AI says solicitors stay accountable for all work, AI or not. In May 2025 it authorised Garfield.Law, the first purely AI-based firm, after checking its system cannot propose case law and acts only once the client approves. Its compliance tips say clients should always be told when they are dealing with AI.

What changes for a Scottish firm?

Each matter carries its jurisdiction. Scottish firms reconcile client bank accounts at least monthly under rule B6, send written terms under rule B4 (the work, the fee or its basis, who will do it, who to contact), file Land and Buildings Transaction Tax returns, and complaints go to the Scottish Legal Complaints Commission.
