Property management software development for letting agents
We do property management software development for UK letting agents and property managers, built around the lettings CRM you already run. England, Scotland and Wales each have their own tenancy law, and their deposit, safety and agent rules differ, so the software has to know which nation each property is in.
We are a software studio in Hamilton, Scotland. Your letting agent software keeps the records; the property management automation we add is clocks, checks and exports. We host it, you own the code and data, and a person checks anything touching a tenant or client money.
Where the time goes
Offer to move-in
In England, a holding deposit is capped at one week's rent and held for a standard 15 days, and right to rent checks cover every adult before the tenancy starts. In Scotland, written tenancy terms are due by the start day.
Rent and client money
Each rent receipt is matched to a tenancy before fees come off and landlords are paid. In Scotland, the Code requires dedicated client accounts reconciled at least monthly. For landlords abroad, the Non-Resident Landlord Scheme means deducting basic-rate tax unless HMRC approves gross payment.
Repairs and works orders
Each report is triaged, approved against the landlord's limit, sent to a contractor and chased to invoice. In Scotland, the Code expects written repair procedures with target timescales and 48 hours' notice of access for a private residential tenancy. In England, Awaab's Law timescales for private renting are out to consultation until 18 December 2026.
Certificates and expiry dates
Gas checks are due every 12 months across Great Britain, copied to tenants within 28 days or before move-in. Electrical reports are due at least every five years in England, Wales and Scotland; Scotland adds PAT testing. From 15 December 2026, region by region, England's new rental property database asks for them too.
The systems you already run
We build around them, so nobody has to move their work to a new platform.
Reapit
An estate and letting agency CRM with a documented API, Foundations. Apps are reviewed before listing in its AppMarket: about five business days if private, up to 60 if public.
Street and Arthur Online
Street, a CRM for lettings, property management and client accounting, has a free Open API with webhooks. Arthur Online, property management software, lets account holders create OAuth applications for its documented API.
Alto, Jupix and Expert Agent
Agency CRMs. Alto shares API documentation with integration partners through its Partner Hub. We found no public API for Jupix. Expert Agent exports listings as XML over FTP. Without a public API, we work from exports.
PayProp and Fixflo
PayProp automates rent collection, reconciliation and payments for agents; its API and webhooks are available on request. Fixflo handles repairs, maintenance and compliance from first report to sign-off, and publishes API documentation.
What we would build
Compliance register
A record per property for gas, electrical with remedial work, EPC and alarms, plus PAT and landlord registration in Scotland, with expiry alerts, proof of service and an export for England's database.
Tenancy progression by nation
A move-in workflow that follows the property's nation: right to rent records in England, tenancy terms in Scotland, and deposit protection through the scheme APIs, counting 30 days in England and Wales or 30 working days in Scotland.
Rent increase scheduler
Works out when each tenancy can next rise under its nation's rules, including England's 52-week gap after a pre-May 2026 rent review increase, and pre-fills the prescribed notice for a person to check and serve.
Client money and arrears
Suggested matches between bank lines and tenancies for a person to confirm; arrears tracked against the possession thresholds (three months for England's mandatory ground, three consecutive months in Scotland); Non-Resident Landlord deductions; statements and monthly reconciliation.
Rules we build around
The software keeps the dates, records and evidence these ask for. The duties stay with you, and we would check how they apply to your business with you.
Renters' Rights Act 2025 (England)
From 1 May 2026, section 21 is abolished in England and tenancies are assured periodic. Rent can rise once a year, on a section 13 notice with two months' notice. Agents must publish an asking rent, accept no higher offers, and not refuse applicants for children or benefits. Bidding and discrimination fines go up to £7,000 each; serious or repeat breaches of other duties, up to £40,000.
Letting agent registration and Code of Practice (Scotland)
Under the Housing (Scotland) Act 2014, anyone doing letting agency work in Scotland must be on the Scottish Letting Agent Register and follow the statutory Code of Practice, covering inspections, repairs, complaints and client money. Operating unregistered is a criminal offence.
Private Housing (Tenancies) (Scotland) Act 2016
A private residential tenancy's rent can rise once in 12 months, on at least three months' notice using the prescribed form; any other way leaves it unchanged. The tenant has 21 days to apply to Rent Service Scotland, and 30 days from 1 April 2027 under the Housing (Scotland) Act 2025.
Tenancy deposit protection
In England, the Housing Act 2004 requires deposits to be protected, and prescribed information served, within 30 days of receipt; in Wales, the Renting Homes (Wales) Act 2016 sets the same 30 days for occupation contracts. In Scotland, the Tenancy Deposit Schemes (Scotland) Regulations 2011 allow 30 working days from the tenancy start; the Tribunal can award up to three times the deposit.
Where AI helps
AI should not decide a referencing outcome: refusing applicants because of children or benefits is unlawful in England and Scotland, and solely automated decisions with significant effects engage UK GDPR Articles 22A to 22D. Nor should it write statutory notices, which use prescribed forms. It pre-fills; a person decides.
- Reading gas safety records, EICRs and EPCs into the compliance register, with your compliance lead checking each extracted date and finding against the source document.
- Sorting repair reports and photos by urgency, flagging damp, mould or suspected gas danger, for a property manager to confirm before a works order goes out.
Software we built and still run
-
StoreBay
StoreBay is self-storage management software we designed, built and run, not lettings software. It handles problems close to a letting agent's: recurring billing, Direct Debit through GoCardless, late-payment emails on the operator's schedule, agreements signed online, and a customer portal for payments and invoices.
Questions
Do we have to replace our CRM?
No. Your CRM holds the core records, and CRMs such as Expert Agent and Acquaint also feed the property portals. We build around yours through its API, a partner route or its exports.
Can one system cover England, Scotland and Wales?
Yes, with each property's nation driving its workflows. Notices, rent rules and deposit deadlines differ; right to rent applies in England only. In Wales, tenancies are occupation contracts under the Renting Homes (Wales) Act 2016, and agents need a Rent Smart Wales licence. For Northern Ireland, we would check the rules first.
Will you touch our client account?
We would read from it, not pay out of it. In England, agents holding client money must belong to an approved client money protection scheme. A person confirms each match, and payments stay with your bank or payments provider.
Are we ready for England's landlord database?
Registration opens region by region from 15 December 2026, with the last regional deadline on 14 November 2027. Landlords must start and complete it; agents can upload some information if the landlord agrees. We found no API for agents, so current certificate records are the preparation.
