StoreBay

Self-storage management software: online bookings, billing, Direct Debit, late-payment chasing and a customer portal.

One of our own products: we designed it, built it and run it. What we did: product design, the platform and payments.

StoreBay: a row of storage units with one just booked, and a note that it was booked online, the licence signed and the first month paid

What it is

StoreBay runs a self-storage business: the units, the bookings, the customers, the billing and the chasing when a payment is late.

Billing is the heart of it. Rent is charged every month, by card or Direct Debit, and late payments follow a schedule with reminders, notices and fees, so the money has to be exact and every step recorded.

What we built

  • Booking website and back office

Customers choose a unit and book online; the operator runs units, customers and sites from one place.

  • Billing, cards and Direct Debit

Invoices every month, card payments, and Direct Debit through GoCardless on the operator's own account.

  • Late-payment chasing

Reminders, notices and late fees by email on a schedule the operator sets.

  • Agreements and a customer portal

Licence agreements signed online; customers pay, see invoices and give notice in their own portal.

  • An API and webhooks

For operators who want to connect their own systems.

How it's kept working

The parts of the engineering a customer never sees, and the reason it keeps running.

  • Each operator's data is kept apart by the database itself, so one operator can never see another's.
  • Money is stored in whole pence, never as fractions.
  • Every action that sends an email or takes a payment is recorded first, so it can be audited and replayed.
